Landlord compliance checklist, Rules to follow with care, Happy tenants thrive

You want a clear, no-nonsense way to stay legal in 2025, and this landlord compliance checklist gives you precisely that, grounding every decision in safety, evidence, and practicality for you and your tenants.

You should begin with the essentials because
they set the legal baseline!

An in-date Gas Safety Record (CP12) every 12 months for any gas appliance, a valid EICR at least every five years or sooner if recommended, an EPC at band E or above unless exempt, working smoke alarms on each storey and carbon monoxide alarms where required, plus legionella risk consideration for water systems.

You also need compliance with UK tenancy law on deposit protection within 30 days, prescribed information served, the How to Rent guide provided, right to rent checks completed, and a clear record of repairs and safety actions linked to your landlord responsibilities.

You will save time by centralising certificates, reminders, and communications. Keep digital copies of your gas certificate, EICR, EPC, and any fire safety documentation. Record service dates, expiry dates, and contractor details. Sync renewal reminders at least 60 days in advance. Attach tenant acknowledgements for documents you must serve, meeting your landlord's legal requirements with traceable proof.

You might also need property-specific fire risk assessments, especially for HMOs or buildings with communal areas, and you should maintain fire doors, emergency lighting, and clear escape routes.

For single lets, align with the Fire Safety (England) Regulations where relevant and verify alarms on move-in day and at inspections. Keep a written fire safety plan; it demonstrates diligence under rental property regulations.

You will benefit from a cadence that makes compliance routine rather than reactive. Inspect quarterly or biannually as appropriate, test alarms, note defects, and schedule fixes immediately. Review insurance conditions; many policies mandate up-to-date safety certificates. Document every action, from minor repairs to major works, because evidence protects you if disputes arise under UK tenancy law.


You can use this practical checklist to structure your year:

  • Gas Safety Record renewed annually; keep the last two years on file
  • EICR valid and remedial works completed with written confirmation
  • EPC current; check improvement measures if nearing expiry
  • Smoke and CO alarms installed, tested on check-in, and logged
  • Fire risk assessment completed where required; actions tracked
  • Deposit protected within 30 days; prescribed information served
  • Right to rent checks completed and retained as per guidance
  • How to Rent guide, EPC, Gas Safety Record, and EICR served pre-tenancy
  • Legionella risk considered; simple control measures documented
  • Repairs logged with dates, invoices, and tenant communications
  • Licences valid for HMOs or selective schemes; conditions monitored
  • Data protection practices are in place for tenant information

You reduce risk when someone like me audits your records quarterly against landlord legal requirements, cross-checks licence conditions, and flags gaps early. You also cut costs by avoiding last-minute call-outs and fines while keeping tenants confident that safety is taken seriously, which lowers churn and complaints under rental property regulations.

You can keep all this really simple!

Commit to clear evidence, early reminders, and consistent follow-through. With a disciplined process and, ideally, a capable virtual assistant such as myself coordinating the moving parts, your landlord responsibilities stop being a burden and become a calm, predictable rhythm.
